Privacy Policy

How Queen’s Hall, QH Tix, Sun Tixx and authorised event partners handle ticketing, payment and customer information.

This Privacy Policy explains how Queen’s Hall, through its official QH Tix ticketing platform, collects, uses, shares, secures and retains information. Sun Tixx provides ticketing technology and payment-processing services and may process information on behalf of Queen’s Hall, event organisers and customers.

1. Scope and the parties involved

This Policy applies to QH Tix websites, event pages, ticket purchases, customer accounts, support communications, mailing-list forms, Box Office-related digital services and related interactions. “QH Tix” refers to the official Queen’s Hall ticketing platform. “Queen’s Hall” refers to the Queen’s Hall organisation and venue. “Sun Tixx” refers to the ticketing technology and payment-processing provider supporting the platform.

An event organiser or promoter may also receive and use customer and attendee information for legitimate event delivery, access, safety, service, legal and approved marketing purposes. Depending on the activity, Queen’s Hall, Sun Tixx and the organiser may act as separate or associated data controllers or service providers.

2. Information we may collect

Identity and contact information

  • Name, email address, telephone number and billing or mailing address.
  • Account username, encrypted password information and account preferences.
  • Attendee names, accessibility requests or other event-specific details you choose or are required to provide.

Order, ticket and event information

  • Event, performance, ticket type, seat, quantity, price, fees, order number and delivery status.
  • QR code or barcode identifiers, ticket scan status, check-in, attendance, reissue and transfer records.
  • Complimentary, promotional, guest-list, Box Office or manually issued ticket records.

Payment and transaction information

  • Amount, currency, payment status, refund or reversal status, processor reference, authorisation code, fraud result and chargeback status.
  • Card type, brand and last four digits where supplied by the processor.

QH Tix and Sun Tixx do not intend to store full card numbers, PINs or CVV/CVC security codes on ordinary business systems after authorisation. Sensitive payment credentials are processed through approved processors, acquiring banks, gateways, tokenisation or hosted payment solutions.

Technical information

  • IP address, browser, device, operating system, approximate location, referring page, session activity and security logs.
  • Cart, checkout, login, fraud-prevention and support activity.
  • Cookies and similar technologies used for essential functionality, preferences, analytics, security and permitted marketing.

Communications

  • Emails, contact-form messages, calls, support notes, refund requests, dispute communications and other correspondence.

3. How information is used

Information may be used to:

  • create, process, confirm and deliver orders and tickets;
  • reserve or manage seats, ticket quantities, access rights and event attendance;
  • process payments, refunds, voids, reversals and reconciliations;
  • issue confirmations, receipts, QR codes and service messages;
  • provide customer, Box Office and event support;
  • communicate postponements, cancellations, venue information and safety notices;
  • verify identity, prevent fraud, secure accounts and investigate suspicious transactions;
  • respond to chargebacks, complaints, legal requests and regulatory requirements;
  • manage mailing lists and send marketing messages where you have consented or where otherwise permitted;
  • improve the platform, event discovery, accessibility, reporting and service reliability.

4. Who may receive information

Relevant information may be shared, only as reasonably necessary, with:

  • Queen’s Hall staff and authorised Box Office, finance, event, technical, security and customer-support personnel;
  • Sun Tixx and its authorised ticketing, payment, hosting, email, support, analytics and security service providers;
  • the event organiser, promoter, producer, venue team or authorised event partner;
  • payment processors, acquiring banks, card networks and fraud-prevention providers;
  • ticket scanning, access-control, seating, email, SMS, accounting, audit and infrastructure providers;
  • professional advisers, insurers, auditors, public authorities or law-enforcement bodies where lawful and necessary.

Queen’s Hall and Sun Tixx do not sell personal information to advertisers. Personal information will not be rented or traded for third-party marketing without the required consent.

5. Payments and statement descriptors

Sun Tixx processes QH Tix online payments and may route transactions through approved gateways, acquiring banks and processors, including Stripe, Scotiabank, Scotia eCom+, Fiserv or other authorised partners depending on card type, currency, risk controls and technical availability.

Your card or bank statement will ordinarily display SUN TIXX, SUNTIXX, SUN TIXX CARIBBEAN LIMITED or a shortened processor-specific Sun Tixx description. An event, organiser or Queen’s Hall reference may also appear. This information is disclosed to reduce mistaken disputes and chargebacks.

Transaction records may be retained and shared with processors, banks, card networks, Queen’s Hall and event organisers for reconciliation, refunds, fraud review, support and dispute handling.

6. Cookies and similar technologies

Essential cookies may maintain your cart, checkout session, account login, seat selection, payment flow, security settings and preferences. Analytics or marketing cookies may be used where permitted and configured. Blocking essential cookies can prevent login, checkout, payment or ticket delivery from functioning correctly.

7. Marketing and mailing lists

Joining the QH Tix mailing list is optional. You may unsubscribe through the link in a marketing email or contact Queen’s Hall. Even after opting out of marketing, service messages such as receipts, tickets, security notices, event changes and refund updates may still be sent.

8. Children and minors

QH Tix is not intended for unsupervised use by children. A person under 18 should purchase or use tickets with the consent and supervision of a parent or legal guardian. Events may impose separate age restrictions or identification requirements.

9. International service providers

Cloud hosting, payment, card, email, analytics, fraud-prevention and support providers may operate outside Trinidad and Tobago. Information may therefore be transferred to or accessed from other countries, subject to reasonable contractual, organisational and technical safeguards.

10. Retention

Information is kept only for as long as reasonably required for ticket delivery, event attendance, customer support, accounting, tax, settlement, audit, fraud prevention, disputes, chargebacks, legal compliance and enforcement of agreements. Retention periods vary by record and may be extended where a dispute, investigation or legal requirement remains open.

11. Security

Reasonable administrative, organisational and technical safeguards are used, including controlled access, secure hosting, encryption where appropriate, processor-managed card data, permissions, logs, fraud monitoring and operational procedures. No internet service can guarantee absolute security. Customers are responsible for protecting their email accounts, devices, passwords and tickets.

12. Ticket and QR-code privacy

A ticket QR code is a credential. Do not post it publicly or send it to several people. The first successful scan may invalidate later copies. QH Tix may retain scan and access records to prevent duplication, resolve entry issues and respond to disputes.

13. Third-party links and content

Event pages may link to organiser, sponsor, performer, social-media or other third-party services. Those parties have their own terms and privacy practices. Queen’s Hall and Sun Tixx are not responsible for independent third-party sites.

14. Your choices and rights

Subject to applicable law and legitimate retention requirements, you may request access to, correction of, deletion of, restriction of or information about personal information held about you; withdraw consent where processing relies on consent; and opt out of marketing. Identity verification may be required before a request is completed.

Some records cannot be deleted immediately where they are needed for payments, tax, audit, fraud prevention, safety, ticket validation, legal claims or disputes.

15. Changes to this Policy

This Policy may be updated to reflect changes in law, technology, payment processing, event operations or QH Tix services. The revised date will be shown on this page. Material changes may also be communicated through the website or email.
